The short version

We use data to run ClipBook.

That includes accounts, bookings, payments, notifications, support, and service security.

We do not sell personal data.

ClipBook does not use personal data for third-party behavioural advertising.

You can ask, change, or delete.

Use your account settings or contact us. Customers can also contact the shop they booked with.

01

Who is responsible for your data

ClipBook is provided by Pare Studio. Pare Studio is the controller for data used to create and secure ClipBook accounts, provide the platform, manage subscriptions, respond to support, and operate our own service.

Shops using ClipBook decide why and how they use their customers' booking, consultation, haircut, and relationship records. For that data, the shop is normally the controller and Pare Studio acts as its processor. If your question is about a record held by a particular shop, contacting that shop is usually the quickest route. You can still contact us and we will help route the request.

02

What personal data we use

Accounts and shop setup

Names, email addresses, phone numbers, sign-in and verification details, roles, shop profiles, team memberships, service settings, and subscription or billing identifiers.

Customers and bookings

Customer contact details, appointments, preferences, waitlist entries, consent choices, notes, haircut history, and photos that a shop or customer chooses to add.

Payments

Transaction identifiers, amounts, statuses, refunds, connected payment-account details, and payment-terminal events. Card and contactless payment credentials are handled by the payment provider; ClipBook does not store full card numbers.

Devices and service use

App installation identifiers, push-notification tokens, device and operating-system details, security events, IP address, and diagnostic or reliability logs.

Messages and support

Emails, SMS delivery information, support requests, and the content supplied when using an assistant or other automated feature. Assistant content is sent to an AI service provider only when that feature is used.

03

Why we use it and our legal bases

  • To perform a contract: provide accounts, bookings, diaries, payments, receipts, reminders, and requested support.
  • For legitimate interests: secure ClipBook, prevent fraud and abuse, diagnose failures, understand service reliability, and improve the product in ways users reasonably expect.
  • With consent: send optional marketing, access optional device features where consent is required, and honour choices that can be withdrawn.
  • To meet legal obligations: keep required tax, accounting, payment, security, and compliance records and respond to lawful requests.

We do not use solely automated decisions that produce legal or similarly significant effects for ClipBook users.

04

Android and iOS device permissions

ClipBook asks for device access only when it supports a feature you use:

  • Camera and photos: to take or choose haircut and profile images.
  • Notifications: to deliver booking, account, and operational alerts.
  • NFC: to accept eligible contactless payments with Tap to Pay on iPhone.
  • Precise location: a payment provider's Tap to Pay on iPhone SDK may require location while setting up or accepting an in-person payment for security and regulatory purposes.

You can manage permissions in your device settings. Turning one off may stop the related feature but will not stop unrelated parts of ClipBook from working.

05

Who receives personal data

We share only what is needed with:

  • the shop, staff, or customer involved in a booking or service;
  • hosting, database, file-storage, security, and delivery providers;
  • payment providers such as Stripe, SumUp, or Square when the relevant payment option is used;
  • email, SMS, authentication, and push-notification providers;
  • AI service providers when an assistant or automated feature is used;
  • professional advisers, regulators, courts, or law enforcement where necessary or legally required; and
  • a buyer or successor if our business is reorganised, subject to appropriate safeguards.

Some providers process data outside the UK. Where UK data-protection law requires it, we use an applicable adequacy decision or contractual and organisational safeguards for the transfer.

06

How long we keep it

We keep personal data only for as long as needed for the purpose collected, while an account or service is active, and afterwards where required for security, disputes, tax, accounting, payment, fraud-prevention, or other legal obligations. The period depends on the record and the shop's own lawful retention needs.

Deleting a ClipBook customer account removes the sign-in identity, clears contact details from linked shop customer profiles, and removes identifying booking snapshots. A shop may retain non-identifying booking history, transaction records, or other records it must keep. Payment providers keep their own records under their policies and legal duties. See the account deletion page for the steps.

07

Your choices and UK data rights

Depending on the circumstances, you can ask for access, correction, deletion, restriction, or portability of your personal data; object to certain uses; and withdraw consent at any time. You can change shop marketing choices in your customer account settings. Withdrawing consent does not make earlier lawful use invalid.

We may need to verify your identity and may ask the relevant shop to act on a shop-controlled record. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk.

ClipBook's business app is intended for adults operating or working with a business. It is not directed to children.

08

Contact and policy changes

For privacy questions or rights requests, email clipbook@parestudio.dev. Please do not send passwords or full payment-card details.

We may update this policy when ClipBook, our providers, or the law changes. We will publish the revised version here and change the date above; we will provide a more prominent notice where a change is material.
